Use the most specific observation available
“Last used for a run in June” says more than “good condition”. “Powers on” describes startup only. “Stored since removal” describes a history, not present performance. State what was actually observed and when.
Keep faults visible
List known faults, intermittent behaviour, removed modules and repairs that remain incomplete. If an error report exists, identify its date and the relevant equipment. Remove confidential data before sharing any records.
Provide existing evidence, not improvised tests
A recent tune, performance or service record may help a review if it already exists and can be shared. Do not power up, vent, open or move a specialist system solely to produce evidence for an enquiry. Technical actions belong with qualified personnel and the applicable procedures.
Separate appearance from operating status
Clear photographs show configuration and external condition. They do not prove analytical performance. Include both the images and a written status account, and flag components that were changed after the last documented use.
A reusable equipment record
The CSV template opens in common spreadsheet applications. Keep one row per item and link related modules with a system reference. Leave genuinely unknown details marked as unknown.
